The short version

  • We collect only what we need to answer your questions, book your visit, and send what you ask for. That is usually your name, email, mobile number, and zip code.
  • We use trusted providers to run our website, scheduling, email, texting, and analytics, and we use tracking tools on our site so we can market to you effectively. We do not sell your personal information, and we never share your mobile number with anyone for their marketing.
  • Please do not send detailed health information through a web form, email, or text. Call us or tell us in person at your visit instead.
  • You can unsubscribe from emails, reply STOP to end texts, and ask us to access, correct, or delete your information at any time. Email support@robertspt.golf.

This summary is for convenience. The full policy below is what applies.

1. Who this policy covers

This Privacy Policy explains how Roberts PT (“RobertsPT,” “we,” “us,” or “our”) handles information when you:

  • visit our website at https://robertspt.golf (the “Website”),
  • contact us or request a visit through the Website, by phone, email, or text, or
  • sign up for our emails, texts, workshops, guides, or other resources.

Our clinic is located at 12136 State Line Rd, Leawood, KS 66209, United States.

By using the Website, you agree to this policy. If you do not agree, please do not use the Website.

2. Health information and HIPAA

This policy covers the Website and our marketing and general communications. It does not replace our Notice of Privacy Practices.

When you become a patient, the health information we create or receive while caring for you (“protected health information”) is governed by HIPAA and our Notice of Privacy Practices. We provide that notice at your first visit and on request. If this policy and the Notice differ for your protected health information, the Notice controls.

Before you are a patient, we treat what you send us as confidential and use it only as described here. Even so, web forms, email, and text are not the best places for medical details. Please keep messages brief and share health history with us by phone or in person.

3. Information we collect

Information you give us.

  • Contact details: name, email address, mobile number, and zip code
  • Booking details: preferred days and times, and the service you are asking about
  • How you heard about us
  • Messages and questions you send us, and anything else you choose to share
  • Sign-ups for our newsletter, guides, quizzes or self-assessments, and workshops

Information collected automatically. When you use the Website, we and our providers collect technical information such as your IP address, browser and device type, pages viewed, date and time of visit, the site that referred you, and your approximate location. We collect this using cookies and similar technologies (see Section 6).

Records of our communications. We keep records of calls, emails, and texts between you and us, including your messages and our replies.

Information from others. If someone refers you to us, such as a golf professional or physician, they may share your name and contact details with your permission.

4. How we use your information

We use your information to:

  • respond to your questions and provide support
  • book, confirm, and remind you about visits
  • send the information you request, such as guides, workshop details, and tips
  • send marketing emails and texts where you have agreed to receive them
  • understand how people find and use the Website, and improve it and our content
  • measure how well our outreach works, and show you relevant information about our services, including on other websites and platforms
  • protect the Website and our business, and prevent fraud or misuse
  • meet legal and professional obligations

If we want to use your information for a new purpose, we will ask for your consent first unless the law allows or requires otherwise.

5. Texting and email

If you give us your mobile number, we may text you about your appointment (confirmations, reminders, and changes) and to reply to your messages. If you opt in to marketing messages, we may also text you about workshops, tips, and offers.

  • Agreeing to receive marketing texts is not required to book or buy anything.
  • Message frequency varies. Message and data rates may apply.
  • Reply STOP to any text to opt out. Reply HELP for help.
  • Every marketing email includes an unsubscribe link.
  • Opting out of marketing does not stop essential messages about your appointments or care.

We do not share your mobile number or your text-messaging consent with third parties or affiliates for their marketing or promotional purposes.

6. Cookies, analytics, and similar technologies

We use cookies and similar technologies, including analytics and marketing tools such as tracking pixels and tags, to make the Website work, remember your preferences, understand how the Website is used, and market our services to you more effectively. For example, these tools may show us which pages and ads brought you to the Website and let us show you our ads on other websites and platforms.

We use this information only for our own analytics and marketing. We do not sell it. The providers of these tools process the information on our behalf and under their own policies. To learn more about the cookies we use and your choices, see our Cookie Policy.

You can block or delete cookies in your browser settings, use the cookie choices we offer, and manage ad personalization in the settings of the platforms where you see our ads. Some Website features may not work as intended if you do.

Some browsers send “Do Not Track” signals. We do not currently respond to them, but you can use the cookie choices described above.

7. How we share your information

We share information only in these situations:

  • Service providers. We use companies that help us run the Website and our business, such as website hosting, scheduling and intake software, email and text messaging, phone service, analytics, and payment processing. They may use your information only to provide services to us and are expected to protect it.
  • At your direction or with your consent. For example, when you ask us to send information to your physician or another provider.
  • Legal and safety reasons. To comply with law, regulation, court order, or legal process; to enforce our agreements; to respond to claims; or to protect the rights, property, or safety of our patients, visitors, or others.
  • Business changes. If Roberts PT is merged, sold, or reorganized, your information may transfer to the new owner, who must honor this policy.

We do not sell your personal information.

8. How long we keep information

We keep personal information only as long as we need it for the purposes in this policy, or longer where the law requires.

  • Website inquiries and booking requests: as long as needed to respond and follow up, then deleted or de-identified.
  • Email and text lists: until you unsubscribe or we stop contacting inactive subscribers.
  • Analytics data: according to the retention settings we configure in our analytics tools.
  • Patient records: for the period required by Kansas and federal law.

We may keep aggregate or de-identified information that does not identify you for as long as we like.

9. Your choices and rights

You can:

  • unsubscribe from emails or reply STOP to texts at any time
  • adjust cookies in your browser and through any cookie choices we offer
  • ask to access or receive a copy of your personal information
  • ask us to correct or update it
  • ask us to delete it, or to restrict or stop certain uses
  • withdraw consent you previously gave

Depending on where you live, you may have additional rights under state law, including the right to appeal a decision about your request or to contact your state attorney general. We will not treat you differently for exercising your rights.

To make a request, email support@robertspt.golf or call (913) 912-1006. We may need to verify your identity first. We will respond within the time required by law. Some information, such as patient records we are required to keep, may be exempt from deletion. Rights over your protected health information are described in our Notice of Privacy Practices.

If you decline to provide or withdraw information we need to provide a service, we may not be able to provide that service.

10. Security

We use reasonable administrative, technical, and physical safeguards to protect your information from loss, misuse, and unauthorized access or alteration. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please be careful about what you send over the internet, and avoid sending sensitive health details by web form, email, or text.

11. Children

The Website is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has given us personal information, contact us and we will delete it. Care for minors requires a parent or legal guardian.

12. Links to other websites

The Website may link to or embed third-party content, such as videos or social media. Those sites have their own privacy practices, and we are not responsible for them.

13. Where information is handled

We operate in the United States, and your information is handled and stored in the United States.

14. Changes to this policy

We may update this policy from time to time. We will post the new version on this page with a new “Last updated” date. Changes take effect when posted unless we state a later date. If we make a material change to how we use information you have already given us, we will give you notice or ask for your consent where the law requires.
